I have streamlined our onboarding process to make things easy for you. If you are new to partnering with me, please first fill out the New Client form online. Click The “BECOME A CLIENT” Button Below to access the form. The form will give me the information I need to get you set up in our system. There is a copy of the Contract Agreement form between Agent and Coordinated Closings, LLC which basically states what Agent does, what Coordinated Closings, LLC does and does not do. The last part states that if Agent does not do their job, then Coordinated Closings, LLC cannot do theirs, and we will not be held responsible when this is the case.
Once you are registered in our system, you can start submitting deals for transactions or listing for MLS processing. You only have to Become A Client one time.
It is common practice for the Agent to provide their systems’ login information for me to access forms and obtain signatures as needed. I do not have access to the various forms involved as I am no longer a licensed agent. I will send you a confirmation email/text and ask for any additional information needed.
You do not have to wait to for approval before you can submit deals so go ahead and fill out either ” SUBMIT A NEW LISTING” or “SUBMIT A PURCHASE” form whichever the case may be. You will also notice a contract between Agent and Coordinated Closings, LLC stating what each of us are responsible for during the transaction and you will acknowledge your agreement when you submit the request. We do not ever want any confusion or missed deadlines, etc. so this helps us both. The respective Buttons are below.
Questions About Our Services
Why should I use a Transaction Coordinator?
I have found that Realtors’ save approximately 15-20 hours per transaction with me moving the deal forward and handling the transaction coordinating. The freeing up of this time allows you to focus on what is important, and that is bringing in new business/clients. More clients = More business = More money in your pocket.
Do you hold E&O Insurance as Transaction Coordinators?
I do carry my own E&O Insurance Policy. This policy covers any transactions that Coordinated Closings, LLC works on. We take your transactions/deals as seriously as you do!
Are agents able to check the progress on any given closing at any given time?
Yes, agents are given a link where they can view their transactions anytime and see the respective data and progress within each deal. You also have the option to receive daily and/or weekly email or text updates. You can turn on both or none, or customize to your choice.
In which states do you offer Transaction Management Services?
We consider Tennessee to be our home state, but also offer the same services in Georgia

How do I submit a request for the creation of a marketing flyer or FaceBook posting?
I am quite happy to utilize my creative side by designing marketing flyers for you (with your guidance) for you to use in your marketing campaigns or open houses or anything else you might need. You will need to check with your broker on the specifics of how you advertise. I do not do any type of marketing for you at this time. What You Do
- Provide initial fully executed binding contract and closing addendums
- Email contract to coordinatedclosings123@gmail.com via “Submit a new transaction” link above
- Attend any in-person events (inspections, appraisals, final inspections, closings, etc.)
- Negotiate any repairs, price changes or other changes to the terms of the contract
- Recommend vendors as needed to your clients and TC
- Advise clients on major choices/decisions during transaction
- Follow deadlines, documents, and answer any questions during our “after hours“ (anything outside our normal business hours of 9 am to 5 pm eastern time)
- Always copy and request that TC is copied on all correspondence
- Ensure TC is up to date on any missed communication, date changes, or information from all parties

We offer comprehensive transaction coordination services, including contract management, document tracking, inspection scheduling, and closing coordination. Let us handle the paperwork while you focus on your clients.Contract Review
- Thoroughly Review Purchase and Sales Agreement
- Ensure Receipt of Earnest Money Deposited and circulate receipts as needed to all parties
- Send emails to buyer and seller with timeline of overall process
Inspection & Appraisal
- Ensure all inspections are completed before the deadline on binding contract
- Order, schedule and follow up on completions
- Create any amendments related to inspection items as needed
- Follow up with required repairs including receipts before closing
Financing
- Confirm buyer completes loan application
- Confirm ordering, scheduling and completion of appraisal
- Follow up with lender on status of appraisal and overall progress of loan
- Confirm loan approval is on track
- Confirm Clear to Close and review closing disclosure/ALTA along with Agent approval
HOA/Condo
- Confirm receipt or request any HOA/condo docs and ensure delivery to buyers’ agent and title company
- Ensure HOA contact information provided to title company
Title Company Coordination
- Ensure the title company has everything they need throughout the transaction
- Follow up periodically to ensure the transaction is moving forward in a timely manner
- Ensure loan payoffs and title are on track
- Request any extensions or paperwork as needed
- Connect multiple title companies when the transaction is contingent on other sales
Closing Coordination
- Ensure title company has the compensation agreement prior to close
- Send a final closing update to the seller/buyer
- Order home warranty (if applicable)
- Order property appraisal when applicable
- Ensure buyers have received utility info to set up prior to closing
Post-Closing File Completion
- Request client review
- Send 1 year Home Anniversary email (buyer only)
Notary Public Services
- Certified notary public services for real estate and legal documents
